About the Role
The Office Administrator role at Moove, serves as the support for seamless office operations and contributes significantly to our team and company objectives. This role encompasses a diverse set of responsibilities, requiring a dynamic and organized professional to ensure the smooth functioning of the workplace.
What You’ll be Doing
Administrative Support:
- Manage calendars, schedule meetings, scan and photocopy documents.
- Answer and direct phone calls and inquiries.
- Making outbound calls
Office & Team Management:
- Support the CPT City Manager in ensuring efficient office operations.
- Maintain office supplies, equipment, and workspace organization.
Events Coordination:
- Organize and support meetings, staff gatherings, training sessions, and corporate functions.
Record Keeping & Documentation:
- Maintain accurate and organized physical and digital files.
- Document key meeting points and distribute notes to relevant stakeholders.
Communication & Customer Service:
- Handle correspondence (emails, letters, calls) and act as a point of contact for visitors.
- Assist with walk-in and or telephonic and or digital inquiries and provide customer support.
Financial & Compliance Support:
- Assist with budgeting and tracking expenses.
- Ensure compliance with company policies and procedures.
Attendance Management:
- Ensure all Moove employees are registered on the attendance device, keeping data secure and digitally stored.
Employee Support & Coordination:
- Facilitate onboarding, offboarding, training, travel arrangements (flights, accommodation), and leave roster updates.
Data Entry & Reporting:
- Perform data entry tasks, generate reports, and track key operational metrics.
Office Troubleshooting & Procurement:
- Address basic IT issues and office equipment malfunctions.
- Order stationery and replenish office stock as needed.
- Source suppliers for operational and business needs.
Additional Support:
- Assist with courier service requests and special campaigns.
- Maintain a tidy office environment and liaise with cleaning service providers.
- Support internal clients, Impound & Recoveries, Client Services, Sales and Onboarding, Marketing, with administrative requirements.
What You will need for this position
- Previous experience in an office assistant, team assistant or admin role
- Working knowledge of Office Suite or Google Workspace
- Outstanding organisational and time management skills
- Must be flexible with a ‘can do’ attitude and ready to take on additional tasks where required
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
- Excellent verbal and written communication skills
- Discretion and confidentiality
- High School degree
- PA diploma or certification is a plus
Key Metrics
- Experience in coordinating and supporting office projects from initiation to completion.
- Ability to work collaboratively with cross-functional teams.
- Familiarity with office software, project management tools, and event planning platforms is beneficial.
- Effective time management skills to meet deadlines and ensure timely completion of tasks.
- Skill in optimizing schedules and calendars to maximize productivity.
- Experience in planning and coordinating office events, socials, and team-building activities.
Who You'll Be Working with:
Directly reporting to our City Manager , and closely working with our Operations Team.
