About the Role
The Office Manager role at Moove, serves as the support for seamless office operations and contributes significantly to our team and company objectives. This role encompasses a diverse set of responsibilities, requiring a dynamic and organized professional to ensure the smooth functioning of the workplace.
What You’ll be Doing
- Act as the point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Manage executives’ calendars and set up meetings
- Ensure executives’ travel is organised seamlessly and necessary documentation obtained e.g visas
- Take on Mobility Manager responsibilities and manage travel bookings for all executives in the SSA region
- Rack daily expenses and prepare weekly, monthly, or quarterly reports
- Oversee the performance of other clerical staff
- Manage various projects as and when required
- Create and maintain up-to-date office supply inventory
- Take part in reviewing bids from potential new office suppliers
- Maintain communication with office suppliers e.g landlord, cleaning company etc
- Format information for internal and external communication – memos, emails, presentations, reports
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence
- Organise and maintain the office filing system
What You will need for this position
- Work experience as an Executive Assistant, Personal Assistant or similar role
- Excellent MS Office knowledge
- Outstanding organizational and time management skills
- Must have a ‘can do’ attitude and willing to take on new tasks if required
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
- Excellent verbal and written communications skills
- Discretion and confidentiality
- High School degree
- PA diploma or certification is a plus
Key Metrics
- Proficiency in project management tools and techniques.
- Experience in coordinating and supporting office projects from initiation to completion.
- Ability to work collaboratively with cross-functional teams.
- Familiarity with office software, project management tools, and event planning platforms.
- Effective time management skills to meet deadlines and ensure timely completion of tasks.
- Skill in optimizing schedules and calendars to maximize productivity.
- Experience in planning and coordinating office events, socials, and team-building activities.

Directly reporting to our City Manager, and closely working with our OperationsTeam.
